6 Things I Check Before Ordering Pertex Jackets or Technical Textiles

When I first started ordering technical gear for our office, I assumed the most expensive option was the safest. If a jacket carried a name I recognized—Pertex, for instance—I figured it was good to go. Three textile orders later, two of which required reorders I had to explain to my VP, I realized that assumption was costing us both time and money.

This checklist is for anyone who has to order technical fabrics or finished garments without a textile engineering background. It's the process I now use for everything from Pertex shell jackets to raw yarn contracts. It won't make you a fabric expert, but it'll keep you from repeating the mistakes I made while managing roughly $80,000 a year in purchasing across 8 vendors.

When This Checklist Applies

Use it when you're buying finished technical apparel—jackets, shells, insulated pieces—or standard textile materials like yarn and fabric rolls in quantities from 10 to around 500 units. That's the range I work in most often, and it's the range where supplier behavior is predictable enough for a step-by-step approach to work.

Step 1: Pin Down the Exact Material Spec, Not Just the Brand

This is the step I messed up most often at the beginning. I'd submit a PO for “Pertex jacket” and assume that was enough.

It's not. Pertex has multiple product lines with genuinely different performance profiles. If the vendor says “Pertex” and stops there, ask which line. If they say “we'll substitute Shield at the same price” when you asked for Quantum, that's not an upgrade—it's a different product category with a different use case. I want to say that kind of substitution is rare, but don't quote me on that; it happened to me twice in 2024 alone.

  • Pertex Quantum — ultralight and highly compressible woven nylon, designed for down jackets and sleeping bags. A lot of Marmot Pertex models use Quantum for this exact reason.
  • Pertex Shield — a waterproof/breathable membrane fabric for rain shells.
  • Pertex Equilibrium — variable weave porosity for active wear, with a different inner and outer face construction.

Step 2: Inspect the Garment Construction, Not Just the Fabric Logo

The fabric is only part of the product. Take the adidas Men's Adidas Equipment Pertex jacket. It uses Pertex for the shell, but its real performance comes from the details: taped seams, zipper quality, cuffs, hem adjustment, liner, and whether the design includes ventilation features.

Here's what I ask for on any technical garment order:

  • Fabric weight (in gsm or denier)
  • Seam construction — taped or not, critical seams sealed?
  • Fill material if it's insulated — down or synthetic, and what fill power?
  • Zipper type and water resistance
  • Sizing curve and available colorways
  • Care requirements — because our employees will definitely not read the label

If a supplier can't produce a spec sheet with these details in writing, I treat that as a warning sign. If they say “it's like the Marmot Pertex model” without being specific, I ask for the exact materials list.

Step 3: Check the Fabric Face — “Yarn Face Makeup” Matters More Than You'd Think

Here's a textile term that caught me off guard early on: yarn face makeup. It sounds like a cosmetics product, but in textile inspection it refers to the outer surface structure of the yarn—the face—and how defects in those yarns affect the finished fabric's appearance.

The first time I received a rejection notice for “face yarn defects,” I literally had to look up the phrase. What I learned: the face yarns are what you see when you look at a finished garment. Slubs, thick places, thin places, or broken filaments in those yarns show up as visible flaws after dyeing and finishing. A fabric can pass all its strength tests and still get rejected for face defects because the customer will see the imperfection immediately.

What I do now:

  1. Ask the supplier for their inspection standard (commonly points per 100 square yards under the 4-point system).
  2. Request a pre-production sample or a cutting from the actual batch—not from their archive.
  3. Check the face under direct light, in both directions, because some defects only show at an angle.

That 15-minute sample check has saved me more times than I can count. It's fairly easy to spot face yarn issues when you have physical fabric in your hands. One thing I learned: a slight surface texture in the face yarn can be a design choice, not a defect. The key is knowing what the supplier's own standard considers acceptable—and getting that standard in writing.

Step 4: Price Check — What Are Yarn Prices Actually Doing?

Yarn prices fluctuate more than I expected when I moved into procurement. In 2023, we budgeted for a yarn supply based on a quote that shifted 4% before the PO was even confirmed. Cotton and synthetic fiber prices move with energy costs, crop forecasts, supply chain disruptions, and a dozen other factors. And when yarn prices move up, finished goods prices follow—usually with a lag of a month or two.

This is where I do the risk calculation. The upside of waiting is a better price. The risk is that the price goes the other way and I'm stuck explaining a budget variance. The expected value says lock in when the quote is within your budget—but the downside of an increase feels a lot worse than missing a small saving in hindsight.

My rule now: if a supplier won't hold a price for 30 days on an order above $1,000, I account for a 5% contingency in the budget. If they will hold it, I get it in writing. And if a supplier asks for a deposit to lock in pricing, I look at that differently than I used to—raw material costs are real, and suppliers don't want to eat a 5% yarn price increase any more than I want to explain it to my manager. I just make sure the deposit terms are clearly documented.

Step 5: Verify Documentation and Invoicing Capability

This one comes from a scar I still feel. I found a fabric vendor offering a price 12% below our regular supplier. I got samples, checked the face quality, negotiated the quantity—everything looked right. Then the invoice arrived as a hand-written receipt with no tax ID, no line-item breakdown, and no company letterhead.

Finance rejected it. I ate $460 out of the departmental budget because the “savings” weren't worth the accounting nightmare.

Now I verify three things before placing any order:

  1. They can issue a proper commercial invoice with tax ID and line items. If not, I move on—this is non-negotiable.
  2. They have verifiable business registration. I check public registries online.
  3. They can provide country-of-origin documentation. For textiles, some markets require this for customs clearance, and a supplier who can't produce it will cause a port delay.

The most frustrating part of vendor management is that these basics repeat. You'd think a business would have invoicing figured out, but more often than not, it's the small things that break.

Step 6: Build in Buffer Time and Ask About Rework

This is the step I'm the most stubborn about because it feels pessimistic. Your supplier's quoted lead time is probably optimistic—not dishonestly so, but estimates rarely account for their own machine breakdowns, raw material delays, or quality checks. If I'm ordering technical jackets for a company event in March, I order in January. That's the rule, not the exception.

And ask this in advance: what happens if the batch has quality issues? Do they offer return/exchange, or just a credit? What's the turnaround on a reorder?

I still kick myself for not asking that before a 40-unit order where 6 units had visible face yarn flaws and the reorder took five weeks. If I'd asked in advance, I would have chosen a different supplier. I've also started asking about the supplier's own supply chain. For textiles, the yarn source matters more than you'd expect—if the mill that produces the fabric is having issues, the finished goods supplier will feel it a month later.

When This Checklist Won't Help You

Being honest about the limits: this checklist works best for standard technical garments and stock textile materials. It assumes you have three to four weeks of lead time and that you're buying existing products, not commissioning something new.

It does not work well when:

  • You need custom dye matching. If you're trying to hit a specific Pantone reference, acceptable color tolerance (typically Delta E under 2 for brand-critical colors; 2-4 is noticeable to trained observers) is hard to achieve consistently across fabric batches. You need a physical sample and a proper light booth, not a PDF swatch.
  • You're contracting custom manufacturing. This checklist assumes the product already exists in the supplier's lineup.
  • You need same-day delivery. It assumes planning ahead, which—in fairness—is most of this job.
  • You're buying a unique product with no comparison point. When a supplier says “we're the only ones who make this,” that's a strong claim to verify.

The funny thing is, the same process applies to purchases that have nothing to do with fabric. When someone asked me to find the best towel warmer for bathroom use last year, I used the same mental checklist: verified the specs, checked the build quality, confirmed the documentation, and compared the warranty terms. Different product, same structure.

Bottom Line

You don't need a textile engineering degree to order technical gear. You need to ask the right questions, check the quality criteria that actually matter—the face of the yarn, the construction details, the invoicing—and get everything in writing.

The cheapest quote is rarely the cheapest order. The first time I saved 12% per unit on paper, I spent $460 of that “savings” on an invoice problem. Now I check the documentation before the price, and it's saved me from a lot of stressful meetings.
