Step 1: Get the Full Spec Sheet (Not Just the Brochure)

Everything I'd read online said that fabric specs are standardized. In practice, I found that two fabrics with the same listed weight (e.g., 40g/m²) can feel completely different.

I knew I should ask about lead time buffers, but thought, "What are the odds?" for a Pertex Shield rain jacket run. Well, the odds caught up when the DWR treatment failed on the first batch. We had to wait 3 weeks for a re-application.

Here are the questions that separate a good deal from a disaster:

1. What is your return/rework policy?
Some vendors charge 50% of the material cost for a re-do if the issue is on their end. That's a hidden cost.

2. What's the lead time for a repeat order?
If you need an extra 100 yards in a flash, can they do it without a rush fee? If not, that's a risk.

3. How do you handle a quality complaint?
Do they send a third-party assessor? Do they expect you to pay for return shipping? I had one vendor argue for 4 weeks over who should pay for a dye lot issue.

4. What's the minimum order for a special item?
For a fabric like rayon elastane or a specific mesh fabric name, the MOQ might be high. If you only need 500 yards, you might have to pay for the setup on a 3,000-yard minimum, which kills the value.

Two Common Mistakes I Still See

Mistake 1: Only focusing on the price per yard.
I get it—budgets are tight. But that "budget-friendly" fabric for a women's minimalist Pertex rain jacket might have a shorter life span. If the customer has to replace it after 2 years versus 5 years, your brand takes the hit.

Mistake 2: Overlooking the application context.
Don't just ask "Is Pertex good?" Ask "Is Pertex Quantum the right choice for a hiking shell, or should I be looking at Pertex Shield?" The answer changes everything.

Take it from someone who's messed up a few orders: the cheapest fabric is rarely the most cost-effective. The most expensive is rarely necessary. The right fabric is the one that meets your spec, your budget, and your deadline—and that's what this checklist helps you find.
